CURRENT OPEN POSITIONS:

Executive Assistant – Tempe Office (Full-time, hybrid)

We are looking for an experienced and energetic individual who can work with high efficiency and accuracy in a fast-paced changing environment who has a natural ability to communicate, organize, and work well within a team for our full-time Executive Assistant position.  In this role, the ideal candidate will support the organization by assisting the President, COO, and VP of People. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Even in the most trying of times, you maintain a positive can-do attitude, and you don’t believe in the impossible. You’re flexible and understand that sometimes things can change rapidly.

You have an exceptional ability to stay organized, maintain follow-through, and can prioritize multi-level tasks in a fast-paced environment while dealing with internal and external interruptions. You’re able to show initiative, think quickly through problems, and ask for help when needed, while making sure the day-to-day is still performing at optimal levels. You are task or project oriented with a strong desire to collaborate with others and can take direction from multiple sources. You are able to manage your time and priorities and communicate your tasks statuses appropriately with your supervisor.  You are game to jump in and help whenever and however needed, even if it’s an undesirable task. When fires break out, everybody grabs a bucket, from the dogs (yes, we are a dog-friendly office!) to our President!

Responsibilities:

  • Coordinate details for board meetings (State board, two District boards, Foundation board)
  • Draft annual calendars for all boards
  • Schedule and prepare materials for 1:1 engagement meetings with board members and the President
  • Compose and draft confidential letters and reports
  • Act as the liaison to multiple boards, committees, and board members, responding promptly to queries
  • Handle attendance calls/notices for meetings; attend meetings, take and transcribe minutes, and maintain attendance records
  • Manage and update board portal and data
  • Distribute follow-up data to attendees, absentees, and national headquarters on a timely basis
  • Enter and maintain accurate data, reminders, and calendars, including maintaining a compliance dues dates and submissions for the organization
  • Organize schedules and calendars to include appointments, deadlines, meetings, etc. and communicate changes to appropriate parties
  • Manage all expense reports for senior leaders and ensure receipts are provided from staff members on a timely basis
  • Arrange, book and coordinate travel schedules and reservations
  • Assist with basic technology troubleshooting and coordinating tickets with external vendors
  • General filing and filing of confidential documents
  • Provide back-up help when needed for the front desk
  • Leading, co-leading or assisting additional special projects as needed

Required:

  • Ability to maintain a high level of discretion and confidentiality
  • Minimum 7+ years administration experience a must with additional 3+ years executive assistant experience strongly preferred
  • Excellent computer literacy, high level of proficiency in Microsoft Office suite, our CRM, Word Press, virtual meeting apps
  • The ability to troubleshoot basic technology and be a main point of contact for other staff members
  • Ability to learn quickly, adapt, and to think critically, innovatively and strategically
  • Ability to communicate tactfully and directly while receptive to constructive feedback
  • Standard hours will be M-F 8-5, with ability to be flexible based on the needs of the organization
  • Ability to work remotely with team members across the state
  • Hybrid work location available, but many days will necessitate being in person and is subject to the needs of the organization and senior leadership schedules

JA BizTown/JA Finance Park Program Coordinator – Tempe Office (Part-Time)

We are looking for a new member of our team that has a natural ability to problem-solve, lead, and works well within a team. You’ll work part-time in our experiential JA BizTown and JA Finance Park programs, guiding students through our experiential simulations where they spend a day-in-the-life running our student-sized town and economy. We’ll want you to think big, we’ll want you to think small, and sometimes we’ll just want you to do it. Some days are a breeze, some days a little harder; every day you and your teammates will be changing lives.

  • Your attitude toward work, your co-workers and the people you come in contact with through our programs are first class. Even in the most trying of times, you maintain a positive attitude, and you don’t believe in impossible.
  • Computer literacy is a MUST, you will be required to troubleshoot basic technology.
  • MUST be comfortable speaking in front of small and large groups, with or without a microphone. Can you project your voice and take charge when needed?
  • You are game to jump in and help whenever and however needed. When fires break out, everybody grabs a bucket, from the dogs (yes, we have dogs visiting our office!) to our President!
  • Ability to perform and prioritize multi-level tasks in a fast-paced environment while dealing with constant interruptions from students and volunteers.
  • You are willing to step up and lead when necessary. You can adapt, problem-solve and adjust.
  • Coinciding with the school year and day, you’ll work 2-3 days/week (M-F; 7.5-hour shifts). Daily start times vary from 7:15 am to 10:15 am.
  • Help to manage day-to-day operations of the program, including program paperwork and evaluations.
  • Manage inventory responsibilities in JA BizTown or JA Finance Park, including restocking supplies which may require you to climb a ladder.
  • Ability to work closely with children

  • Detail oriented, knowing that each part is important to the big picture/experience.
  • Ability to be on feet for long periods of time and lift up to 40 lbs.
  • Due to our work with children, all employees must pass a background check.
